Print 2 DIS is the easiest way to get electronic documents stored into your Docubase Information Suite system. If you can operate a printer, you can use Print 2 DIS.

Currently the latest release of Print 2 DIS is 0.6

Licensing

Print 2 DIS is sold as a per-computer license meaning each license only covers installation on one PC. Internet access is required for activation of the product on each PC.

Features

Print 2 DIS currently:

Allows indexing of all categories for databases the user has access to store documents into.

Allows for data extraction templates to be configured to extract text from the document to be used as index values.

Utilize electronic signature pads to sign documents prior to storage. (as of version 2.0)

Print 2 DIS future:

Customized forms can be built to display on categories the user wants to display.

More items based on what users like yourself request.

Installation

Once purchased, you will receive a serial number for your company which will allow up to the number of licenses purchased installations / activations.

Run the setup accepting all the defaults unless you want to change the location of the installation.

*The installation will install a new printer to your system named “P2DIS”. This is how you will launch Print 2 DIS.

After the installation completes, the Docubase configuration window will appear giving you the opportunity to enter the server information and the user information.

Enter the server name and port and then click “Verify”.
If the information is correct, the status will change to Verified and you can now enter the user information.

*If the PC is to connect from outside the office over the internet, be sure to have the hosts file configured with the correct IP address. Your router MUST also be configured to properly forward the client port from the outside to the DIS server.

Once the user information has been entered, click verify and the status should change to verified.

Once these steps are done, you can click OK and the application is now ready to use.

Usage

Instead of selecting a physical printer on your desk or in your office, you will select the “P2DIS” printer after initiating a print from your application.

The Print 2 DIS interface appears with your document displayed in the viewer window.
* Thumbnails will display if there are more than 1 pages in the document.

You have a choice of manual entry of the data or utilizing a predefined template.

If you chose the manual option, you may be presented with a choice of database to store to unless you only have access to one database.

The index form appears based off the categories in your database. Fill in as much of the form as you want to index and click the store button to store the document and close the application.

Electronic Signatures

Requirements for this feature include:

Adobe® Acrobat® standard or better

Electronic signature device

Once the index form has been loaded, a new menu item will appear at the bottom of the window. Click this button and select “Sign this document…”
Adobe® Acrobat® will launch and you will need to proceed according to the device you are using.

When finished signing, CLOSE Acrobat® and the document will reload back into the Print 2 DIS viewer now including the new signature(s).

Continue indexing and click the Store button when finished.

Template Configuration

If this is a new document and you would like to configure the data extraction, from the Settings menu select Application => Configuration.

You will need to enter a meaningful name for the template that you will pick from later.

You will also choose the database for which to store the documents to.

The zone configuration instructions display in the upper-right corner of the window.

When complete, click the Save Template button. If you do not want to save the template, click the X in the upper-right corner and verify you wish to dispose of the active template.

Docubase Barcode Maker was born of the idea that users wanted an easy way to associate date with paper files.

Requirements

This application requires a minimum of .NET 2.0 Framework to be installed on the workstation, available here from Microsoft’s website.

The barcode maker application is configured using an INI file which makes configuring multiple stations a breeze.

Below is a screen shot of the barcode maker UI (User Interface). This screen shot is from a new installation without any configurations made.

The items on the interface will be explained later. On the first run from each computer, the application must be activated. This requires internet access and if you are viewing this page, you have verified you have it.

The serial number entry screen will look as follows:

The following message appears when the configuration file is missing:

* A default configuration file is created for you or an administrator to modify.

The configuration will look similar to:

[MAIN]
LABEL_1=Label1
LABEL_1_v=defaultValue
LABEL_2=Label2
LABEL_2_v=defaultValue

This configuration has 2 fields (Label1 and Label2).
Both fields will use the value of defaultValue when the program loads. If you do not wish to use any defaul value, leave the line as LABEL_#_v= with no value after the “=” (equal sign).
You can add more fields by adding new lines and increasing the #’s like this. LABEL_3=;LABEL_4=;etc…

For each Label you add, be sure to include the value key even if you do not plan to use a default value.

Usage:

To get a value in the fields, you can either type using your keyboard or paste from your clipboard. (Double-Click or Ctrl+V)

The p* checkbox with hold the value in that field as long as the box is checked for additional indexes. (Persistant)

As you type, the preview displays the barcode value for your entry.

The Reset button will clear the values on the form leaving the persistant fields alone and returning any default values back to the fields.

When the values have been entered, click Print My Barcode to send the barcode to whatever printer you would like in your office.

While there are no restrictions built into the application as to how many values can be entered, there is a limitation as to how many will fit on a single piece of paper. A maximum of 10 fields is recommended when configuring.

Barcode values are limited to 30 characters also due to standard paper sizes (8 1/2 x 11 Letter)

Dictionary Management [dbloadindex.exe] is an application for adding predetermined keywords to a category in a database.

Launch the Dictionary Manager from the client shortcut directory (normally on the desktop).

Log into Dictionary Manager using an account that has administrative rights on the database you wish to add words to.

A non-administrator can log-in and build the list, however, only administrators can apply the keywords to the database.

If you have multiple databases, you will need to choose the one you want to work on.

Load the source dictionary file by clicking the ellipses (…) button [1].

Synonym’s will not be covered in this article.

It is good practice to have the dictionary file named the same as the database (DEMO => demo.dic)

If this is the first time with this database, you can create one at this step. (Be sure to save this in a location you can reach from other computers, eg your server, so you can maintain a single file for these words rather than having multiple versions.

Click the –> [2] to open the keyword entry interface.

Click on the category you want to add keywords to.

Enter the keywords in the Word field. (Press Enter after entering each word)

Repeat this for each keyword you wish to add.

When complete, click the Save button on the bottom of the form. (When prompted where to save you can leave it as it is unless the path is incorrect) Choose YES to overwrite the original file. This keeps the file with the latest updates / changes.

You will be returned back to the main screen where all that is left is to apply the words to the database.

Click the Execute button on the toolbar.

IMPORTANT – This is the most commonly forgotten step. Without clicking this button NO words will be added to the categories.

If you complete these step and wanted to add an addtional word or words, you can click the refresh button and go back to adding. Be sure to click the execute (Step 5) button before exiting the application.
